Create your own templates

Today we would like to discuss a very practical issue associated with accounting that can create a better and faster working platform. The creation of work templates. 

The more you can simplify and automate your workflow, the faster you can work and the fewer mistakes that can creep in. This is can be applied to all areas of worklife but especially in accounting. In many programs it is possible to customize booking templates individually and to use them for specific transactions. 

But what is a booking template?

A booking template is an electronic entry form that allows you to create company business transactions based on current entries. The template contains input fields in which the required information must be entered for each business case. This makes the template easier for the user to register all necessary entries. As most accounting software require the same certain information that must be entered in the accounting, the fields of the template are similar in most programs and differ only in structure. 

Common fields include:

  • date
  • booking number
  • booking text
  • Invoice / document number
  • Account / Contra account
  • Customer Supplier
  • amount
  • tax rate

In addition, the various accounting programs also differ by the handling of the booking/posting. A distinction is made between a direct booking/posting of an entry and what is referred to as batch booking.

Direct booking/posting of a template

During the processing the business transactions are created and posted directly. Editing this booking is then no longer possible. If corrections have to be made during these postings, an adjustment posting is necessary.

Batch template booking/posting

Batch booking, on the other hand, is treated in a slightly different way. Business transactions are created in a batch and can still be controlled. While the bookings are still in the batch, they are treated as draft entries and can be edited, changed and even deleted. After checking and processing the errors, all business transactions of a batch can then be posted together. In some systems entries that are created in draft can be viewed before booking to see the impact within reports, this is a very effective way of checking your entries prior to booking and thus avoiding errors as the entry can be change prior to posting.

In Reviso it is possible to create personal and individual booking templates to simplify the bookkeeper’s work. Thus, for example, rent invoices or telephone / internet bills can be split into the corresponding accounts, stored and used again and again. These templates can be saved and used again and again saving so much time. Also, any entries created using the templates can be viewed prior to booking/posting to view the impact on your accounts.
